Beehive inspection records: every hive, every visit, with no internet
Short answer: keep one list of yards, one of hives and one of inspections. Fill in the inspection when your gloves are off, at the truck or at home, and each hive's page shows every visit in order. It works on a laptop with no internet. If you want to type at the hive on a phone in an out yard with no signal, read where this is honest first.
In a thread on the Flow Hive forum, one beekeeper said a phone or tablet is no use at the hives “wearing gloves in sunshine”. So the notes go on a paper inspection sheet on a clipboard and get typed into an app or “even a simple spreadsheet” later. Another put it plainly: “When you're fussing with the bees, you can't be entering information.” (The thread, from 2015, read 4 November 2026.)
So the job is not typing at the hive. It is turning a pile of clipboard sheets into something you can look back through: when the queen was last seen, which hive was short-tempered, what you treated and when.
How the lists fit together
| List | What one row is | Points at |
|---|---|---|
| Yards | One place you keep bees: name, where it is, the landowner, how to get in | |
| Hives | One colony: hive number, where the queen came from, queen marked or not, boxes on | A yard |
| Inspections | One visit: date, queen seen, eggs seen, frames of brood, temper, mite count, fed or treated, notes | A hive |
Open a hive and every inspection is listed under it. Open a yard and you see its hives. Group inspections by yard and the round you did on Saturday is on one screen.
A log that lives on the laptop
Bionic Forms builds a small app from a spreadsheet or a sentence, such as “keep my bee yards, hives and hive inspections, with queen seen, brood frames and mite counts”. Our desktop app for Windows, macOS or Linux keeps a full, encrypted copy on the computer. With no connection at all you can:
- Type up the clipboard sheet in the truck before you forget what the scribbles meant.
- Attach a photo of a frame or of the sheet itself (files on records).
- Print a hive's history to take with you next visit (how printing works).
- Search and sort: every hive where the queen was not seen, every mite count over your limit, everything you treated this autumn.
When the laptop finds a connection again, the changes go up by themselves, so a second computer, or a friend who helps with the bees, sees the same records.
Getting old records in
If your notes are already in a spreadsheet, drop it on our home page. Each sheet comes in as its own list, so one sheet of hives and one of inspections, with a hive number on each inspection row, is the easiest shape. Free covers unlimited apps and 10,000 entries per app, which is a lot of inspections.
Where this is honest
- It does not fix the gloves. There is no voice entry and no big-button hive mode. Most people will still carry paper to the hive and type it up after.
- No offline phone app yet. Offline is the desktop app only. On a phone, ours runs in the browser and needs a signal, so an out yard with no bars means paper or a laptop in the truck.
- No reminders built in. “Check this hive again in a week” is something you set up as a workflow, not a calendar that comes with it.
- Set it up while you have a connection. The AI that builds the app runs on our server. Using it afterwards does not need one.
- We are small and pre-launch. We say plainly which parts are not finished, and your data can always be exported again.
