Tractor and implement maintenance log with no internet

Last updated 3 November 2026.

Short answer: keep one record per machine, tractor or attachment, and log each use or service as a row that points at it, with the hour meter reading. It works on a laptop in the shed with no signal, and selling a machine comes with its whole history. If the log must be on your phone with no signal, read where this is honest first.

On TractorByNet a Kubota B7800 owner described how they do it. The tractor itself follows the hour meter and the service schedule in the owner's manual. The attachments get an Excel workbook, “each is on a separate worksheet”, and each time one is used they write a row: the date, hours used, total hours, hours since last service, what the job was, and any service done. Their reason for keeping it goes past grease intervals: it will “document the use and servicing of any attachment should I want to sell it at some point.” (The thread, May 2006, read 3 November 2026.)

That workbook already has the right shape. What it lacks is one place to see every machine, and a page per machine you can hand to a buyer.

How the lists fit together

ListWhat one row isPoints at
MachinesOne tractor, mower, loader, tiller or other attachment: make, model, serial, bought, soldThe tractor it fits, if it is an attachment
UsesOne day's work: date, hours used, hour meter reading, what the job wasA machine
ServicesOne oil change, grease, filter or repair: date, hour reading, parts, cost, and the hours or date the next one is dueA machine

Opening a machine shows every use and every service for it. A tractor's page also lists the attachments that name it. Sold machines stay in the list with a sold date, so their history is still there if a buyer asks.

A log that lives on the laptop

Bionic Forms builds a small app from a spreadsheet or a sentence, such as “a maintenance log for my tractor and attachments, with hours and services”. Our desktop app for Windows, macOS or Linux keeps a full, encrypted copy on the computer. With no connection at all you can:

When the laptop finds a connection again, the changes go up by themselves, so a second computer, or a phone browser with a signal, sees the same log.

Getting the workbook in

If you already keep a spreadsheet, drop it on our home page. A workbook with several sheets asks which one to start with, and the others are offered as buttons after. One thing to know: a sheet per attachment comes in as a list per attachment. One sheet with a column naming the attachment is the better shape, because then each row is linked to its machine. Free covers unlimited apps and 10,000 entries per app.
