Checking people in at an event with no wifi
Short answer: keep the guest list on the laptop at the door, not on a website. Then the wifi can fail and the line keeps moving.
People have been asking this for years. On a ticketing plugin’s support forum, an organiser asked: “Is there a way to do an offline check-ins with a 2d barcode scanner?” The answer from the plugin’s own staff was honest: it needs an internet connection, so “you can certainly print out the list of attendees in advance”, tick people off by hand, and enter the check-ins later once you are back online. (Read on 3 November 2026.)
Paper works. It is also how a walk-in gets lost, a name gets ticked twice, and someone spends the next morning typing ticks back into a computer.
Why the door is where it breaks
- Venue wifi is busiest at the exact moment you need it: when everyone arrives at once and pulls out a phone.
- Halls, barns, church basements and fields often have no signal at all.
- A web page that was open can still fail the moment you search or save, because each search goes to a server.
A guest list that lives on the laptop
Bionic Forms builds a small app from a spreadsheet or a sentence, such as “a guest list with name, ticket number, dietary needs and a checked-in box”. Our desktop app for Windows, macOS or Linux keeps a full, encrypted copy of that list on the computer. With no connection at all you can:
- Search by name or ticket number and open the person.
- Tick them in, add a note, or fix a misspelt name.
- Add a walk-in as a new record on the spot.
When the laptop finds a connection again, the changes go up by themselves. If two laptops at two doors changed the same person while offline, both versions are kept and a person picks.
Most USB barcode scanners type what they scan as if it came from a keyboard, so a scan into the search box finds a ticket number the same way typing it does. We have no scanner feature of our own, so try yours with a few test tickets before the day.
Getting your list in
Export the attendee list from wherever people booked as a spreadsheet, and drop the file on our home page. A .csv or .xlsx is fine. If you also take sign-ups yourself, our event registration page shows the form and the list as one thing. Free covers unlimited apps and 10,000 entries per app.
Where this is honest
- Offline is the desktop app only. In a browser, ours needs a connection too.
- No phone app yet. If the door team only has phones, use a ticketing tool with its own offline scanner app.
- Set it up before you leave. The AI that builds the app runs on our server, so that part needs a connection. Using it afterwards does not.
- Two laptops offline do not see each other’s ticks until one of them is back online. With two doors and no signal, split the list by surname.
- We are small and pre-launch. We say plainly which parts are not finished, and your data can always be exported again.
